How to add line breaks in Excel

Most of us use line breaks without even thinking about it. They can be used to start a new paragraph in Microsoft Word. They can even be used in everyday situations, like when you're writing an email, posting to Facebook, or commenting on something you saw or read online.

According to other forums, Windows versions of Excel can enter an ASCII value for a line break by holding down the ALT key while typing the ASCII code for a line break (0010). But this apparently does not work in Mac.

Line breaks are pretty easy to add in most programs—all you have to do is press Enter on your keyboard, and voilà! One of the few places this doesn't work is Excel. If you've ever tried hitting Enter there, you know it just takes you to the next cell in your worksheet.

Not to worry. There's a simple keyboard shortcut that will let you add as many line breaks as you want—inside any cell. Go ahead and try it! This works in Google Sheets too.

  1. Inserting a line break in Excel is quite easy: Just press Alt + Enter to add a line break inside a cell. This keyboard shortcut works the same way on Windows and the Office 2016 for Mac. Insert line breaks with a formula Let’s say you want to add a line break within the CONCATENATE formula or the ‘&’ when you combine two text cells.
  2. The character used for line breaks is different depending on whether Excel is running on Mac or Windows: CHAR(10) for Windows, CHAR(13) for Mac. This makes it tricky to write a single formula that will work as expected on both platforms.
  3. As with everything Microsoft do, there are two ways to achieve page breaks in Excel. The first is by setting print areas (Les Black answer explains it perfectly). The second is the using Page Breaks!
  4. In between each piece of text, the CHAR function appears with the character code 10. The character code for a line break in Excel varies depending on the platform. On Windows, the code is 10 and on a Mac it's 13. The result of the concatenation is text with line breaks.

Just use the shortcut whenever you want to insert a line break (and save the Enter key for navigating to the next cell). This might take some getting used to, but can come in handy depending on what you're working on. Take the example below. We've used line breaks to make sure each address appears on two lines.

This is a bit of a quickie tip but I scratched my head on it for a few hours one day.

If you use Office:Mac Excel, you may from time to time need to capture multiple lines of information into a cell. If you come from the Windows world, you will quickly come to realize that Alt+Enter doesn’t work.

If you want to insert a new line in Excel for the Mac, select the cell, type your first line and press Alt+Cmd+Enter.

There you have it, insanely easy.
